Overview
These Terms & Conditions apply to bookings made with Collective Experiences Ltd, trading as The Gap Collective ("The Gap Collective", "we", "us" or "our"). By making a booking with us, you agree to these Terms & Conditions. Please read them carefully before booking.
1. About The Gap Collective
The Gap Collective provides curated group travel experiences across Southeast Asia, combining accommodation, transportation, activities, experiences and events.
Our trips are designed to provide structure, support and shared experiences while allowing travellers appropriate freedom to explore independently. The Gap Collective is a trading name of Collective Experiences Ltd, company number NI742777. Email: products@ramslive.co.uk
2. Booking your trip
A booking is made when you complete the booking process and pay the required deposit or balance specified at the time of booking. Once your booking has been accepted, a contract will exist between you and Collective Experiences Ltd.
You must provide accurate and complete information when booking, including your full name, date of birth, nationality, contact information and any information reasonably required for the safe delivery of your trip. You are responsible for checking that the information provided is correct.
3. Eligibility
Unless otherwise stated for a particular departure, travellers must be 18 years or older at the start of the trip. Certain activities, venues or experiences may have additional age restrictions or requirements. We reserve the right to refuse participation in an activity where a traveller does not meet the relevant eligibility or safety requirements.
4. What's included
The inclusions for your specific departure will be clearly stated on the relevant trip page, booking confirmation and/or travel documentation. Depending on the departure, these may include:

- ✦Activities and excursions
- ✦Group experiences
- ✦Events and entertainment
- ✦Certain meals or breakfasts
- ✦Tour coordination and support
Flights to and from Southeast Asia are not included unless expressly stated.
The exact itinerary and inclusions applicable to your booking will be those confirmed to you at the time of booking.
5. What's not included
Unless expressly stated as included, travellers are responsible for:
- ✦International flights
- ✦Visas and visa-related costs
- ✦Travel insurance
- ✦Personal spending
- ✦Food and drinks not expressly included
- ✦Optional activities
- ✦Personal equipment
- ✦Medical expenses
- ✦Vaccinations or other health requirements
- ✦Excess baggage
- ✦Any other personal expenses
6. Prices & payment
The total price of your trip will be displayed at the time of booking. Where a deposit payment is offered, the remaining balance must be paid by the date stated in your booking confirmation.
Balance due date: upon booking.
If the balance is not paid by the due date, we reserve the right to treat the booking as cancelled in accordance with the cancellation terms below. We may offer payment plans or alternative payment arrangements from time to time. The terms applicable to those arrangements will be communicated at the time of purchase.
8. Changes to your booking
If you need to change information relating to your booking, please contact us as soon as possible. Changes may be subject to availability and additional costs. If you wish to transfer your booking to another person, this may be possible subject to reasonable notice, availability and any applicable costs.
9. Changes to the itinerary
We work hard to deliver the itinerary advertised, but travel in Southeast Asia involves circumstances outside our control. We may need to alter the itinerary, accommodation, transport arrangements, activities, venues or event programme where reasonably necessary. This could include changes resulting from:

- ✦Local conditions
- ✦Safety considerations
- ✦Government restrictions
- ✦Venue availability
- ✦Transport disruption
- ✦Supplier changes
- ✦Operational requirements
- ✦Events outside our reasonable control
Where a significant change is required, we will communicate this to affected travellers and provide any rights or remedies required by applicable law. The itinerary is therefore subject to change, and individual events, venues, artists and activities are not guaranteed unless expressly confirmed as contractual inclusions.
10. Events, artists & entertainment
The Gap Collective includes music events, parties and other entertainment. Artists, DJs, venues and event programmes may change due to availability, scheduling, operational requirements or circumstances beyond our control. The cancellation or replacement of an individual artist or performer does not automatically entitle a traveller to a refund where the overall event or trip can still be delivered.
Where an event itself is cancelled or materially changed, we will deal with the situation in accordance with applicable law and the specific circumstances.
11. Accommodation
Accommodation is provided through third-party accommodation partners. Room types, occupancy and facilities will be specified as part of your booking where applicable. Travellers may be required to share accommodation with other members of the Collective. We cannot guarantee specific room allocations unless expressly confirmed.
12. Transport
Transportation between destinations forms part of the Collective experience where stated in your itinerary. Transport may include buses, trains, boats, domestic flights, private transfers and other local transportation. Travel times and routes may change due to local conditions, traffic, weather, operational requirements or other circumstances.
13. Travel documents & entry requirements
You are responsible for ensuring that you have the necessary:

- ✦Entry permits
- ✦Travel documentation
- ✦Vaccinations or health documentation where required
Your passport should have sufficient validity for all countries you intend to visit. Entry requirements vary by nationality and can change. You should check the relevant government and embassy guidance before travelling. The Gap Collective cannot guarantee entry into any country.
14. Travel insurance
Adequate travel insurance is mandatory.
Your policy should provide appropriate cover for the full duration of your trip, including medical expenses, emergency assistance, cancellation, baggage and activities included in your itinerary. You may be asked to provide evidence of suitable insurance before departure.
15. Health & medical conditions
You are responsible for assessing whether you are medically fit to participate in the trip and its activities. You should inform us of any relevant medical, dietary, mobility or accessibility requirements before travelling so that we can consider reasonable arrangements where possible. Certain activities may carry inherent risks or require specific levels of fitness.
16. Alcohol, drugs & conduct
The Gap Collective includes nightlife, events and social activities. Travellers are expected to behave responsibly and comply with local laws, venue rules and instructions from Collective staff, event organisers and suppliers.
Illegal drug use is strictly prohibited.
We reserve the right to remove a traveller from an activity, event or the wider trip where their behaviour:
- ✦Places themselves or others at risk
- ✦Seriously disrupts the experience of other travellers
- ✦Damages property
- ✦Involves illegal activity
- ✦Involves harassment, violence, abuse or threatening behaviour
- ✦Breaches venue or accommodation rules
In serious cases, removal from the trip may occur without refund. Any costs associated with removal, including transport or accommodation, may be the traveller's responsibility.
17. Personal belongings
Travellers are responsible for their own belongings. We are not responsible for loss, theft or damage to personal possessions except where we are legally responsible. You should ensure your travel insurance provides appropriate baggage and personal belongings cover.
18. Our responsibility
Where The Gap Collective is the organiser of a package within the meaning of applicable package travel legislation, we are responsible for the proper performance of the travel services included in your package, subject to the applicable legal framework.
Where a service is provided by an independent third-party supplier, we will work with that supplier to resolve any issues and provide the remedies required by applicable law. Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.
19. Complaints
If you experience a problem during your trip, please notify your Collective representative or us as soon as reasonably possible so that we have an opportunity to resolve it.
Complaints should be raised promptly during the trip wherever possible. If an issue cannot be resolved during the trip, please contact products@ramslive.co.uk. We will investigate the complaint and respond within a reasonable period.
20. Behaviour & removal
We want The Gap Collective to be a safe and enjoyable environment for everyone. We operate a zero-tolerance approach to serious harassment, violence, discrimination, sexual misconduct and threatening behaviour. We may terminate a traveller's participation where their behaviour makes it unreasonable for us or our suppliers to continue providing the trip to them.
21. Photography & content
The Gap Collective and its partners may photograph and film events, activities and experiences during the expedition. By participating in the trip, you acknowledge that you may appear incidentally in photographs or video captured during public or group activities.
Where we intend to use identifiable traveller content for commercial advertising or promotional purposes, we will obtain appropriate consent or rely on another lawful basis where applicable.
22. Data protection
We collect and process personal information in accordance with our Privacy Policy. Our Privacy Policy explains what information we collect, why we collect it, how we use it, who we share it with, how long we retain it and your data protection rights.
23. Circumstances beyond our control
We will not be responsible for failure or delay caused by circumstances beyond our reasonable control, including natural disasters, extreme weather, epidemics or pandemics, war, terrorism, civil unrest, government action, border closures, strikes, transport disruption or other similar events. Where such circumstances affect your trip, we will act in accordance with applicable law and our obligations as organiser.
24. Governing law
These Terms & Conditions are governed by the laws of England and Wales, unless mandatory consumer law provides otherwise.
Cancellation policy
All bookings with The Gap Collective are strictly non-cancellable and non-refundable once confirmed.
Due to the nature of our trips, we make advance commitments to accommodation providers, transport operators, activity providers, venues and other suppliers based on confirmed bookings. For this reason, we are unable to offer refunds or credits where a traveller subsequently decides they no longer wish or are unable to travel.
This includes cancellation due to changes in personal circumstances, illness, injury, changes to travel plans, visa or passport issues, missed flights or other personal circumstances.
We strongly recommend purchasing comprehensive travel insurance at the time of booking to protect against unforeseen circumstances that may prevent you from travelling. Nothing in this policy affects any statutory rights that cannot legally be excluded.
